2018 ACS Biennial Convention

We anticipate 150-175 Doctors of Chiropractic from across the State of Alaska to attend as well as 50-75 staff members (CCAs + Practice/Office Managers).  In 2016, we had 199 DCs and 58 staff attend.  In 2014, we had 179 DCs and 74 staff attend.  In 2012, 196 DCs and 63 staff.  While the numbers are small compared to other state conventions - the ratio is HUGE. There are 332 licensed DCs in the State of Alaska as of  01/12/2018.  This is YOUR opportunity for one-stop access to the chiropractic community in the GREAT State of Alaska.

MORE INFORMATION

Approximately six weeks prior to the event, confirmed exhibitors will receive an Exhibitor Service Kit containing order forms for A/V needs, power upgrades, communication, shipping instructions, etc. Approximately 3 weeks from convention, ACS will share a pre-registration list to exhibitors who wish to do a targeted mailing prior to convention.  This mailing list will be separated by attendee type so you can target DCs and/or staff.  

 

To secure your participation in this event, complete and return the exhibit application accompanied by full payment of the exhibit fee. Please note - if exhibit application and full payment is not received by August 31st your company will not be included in the Convention App or Convention Brochure. 

SHIPPING

The Hotel Captain Cook will only accept pre-paid packages. All packages must contain a label giving the following information:

The Hotel does not charge storage fees on packages. It is recommended that packages arrive no earlier than 3-5 days BEFORE the event. If you have items that require special shipping needs, contact Clayton Damm, Director of Catering, 907-343-2283.

If you want to take advantage of lower cost shipping options to Alaska - you can ship your convention items to my office located at 550 E. Tudor Rd., Suite 202, Anchorage, AK 99503. I will store the items until convention and transport them to the event at no charge to you. If you have a large volume of items or very heavy items, please give me a heads-up
.

 

Audio/Visual Needs

 

Audio/Visual Needs - Contact Clayton Damm, Director of Catering  907-343-2283 to set up any special equipment needs you may have for the Convention.  The hotel requests at least two weeks notice so they can meet your needs.  

 

POWER

Power - extension cord and power strip -will be available (at no charge) for each exhibitor who has specified to me they need power.  If you haven't notified me of your need for regular power - drop me an email.  If you have requirements beyond a regular outlet type power - contact Clayton Damm, Director of Catering  907-343-2283.

VIP LOUNGE

UPDATED 09/14/2018 - All exhibitors will receive a VIP Pass in their Exhibitor Packet for the ACS Hospitality Suite in the Library located in Tower 1, 10th Floor.  It will be open and staffed from 7:00 am - 5:00 pm Thursday, Friday, and Saturday.  I will have the VIP lounge open on Thursday so you have an option for lunch.  I know how busy everyone gets at these events and you don't always get to eat when breakfast and lunch is served so we'll have coffee, tea, pastries and fruit available in the AM and sandwiches, chips, and snacks available in the PM.  It's also the ONLY place you are going to find soda (and the dreaded diet soda) at our event!  I want to keep everyone fed and happy so if you missed lunch and need a quick bite - stop in!  Remember to have your VIP pass to access.  All Exhibitors are welcome to eat with attendees for the scheduled breakfasts, lunches, and snacks scheduled on Friday, Saturday, and Sunday.  Our VIP Lounge is there so you have an option for Thursday and to fill in the gaps on Friday, Saturday and Sunday should you be too busy to eat during the scheduled meal times.  
 

ATTENDEE COUNT 

We anticipate 150-175 Doctors of Chiropractic from across the State of Alaska to attend as well as 50-75 staff members (CCAs + Practice/Office Managers).  I'll be emailing a pre-registration list of the attendees with mailing info on 9/20/2018 for those who want to do a mail-out to attendees.  ACS does not provide email addresses for registered attendees.  ACS has partnered with Conference Leads to provide a cloud based lead retrieval app that can be downloaded on your personal device.  This is a totally cool Apple/Android program that takes the stress out of keeping track of who you talked to and helps you follow up on all those items you promised!  ACS will be using Engineerica's Conference Tracker program for scanning all attendees at the Alaska Chiropractic Society 2018 Convention October 4-7, 2018 at the Hotel Captain Cook in Anchorage, AK.  All the attendees at convention will have a name badge with a QR code so it just seemed logical to add in exhibitors with a totally compatible and reliable lead management system.  Click Here to view a flyer with more information and links for purchasing licenses for your booth personnel.   With consent from the attendee, the system does capture emails.  Typically, the attendee and the vendor will have a conversation and the attendee will give consent before the vendor scans the QR code on their badge.  ACT before 10/1 and save $50 off app pricing.

  • The 2018 Alaska Chiropractic Society Convention will be held October 4-7, 2018 at the Hotel Captain Cook in downtown Anchorage.  WE'VE EXPANDED TO 4 DAYS AGAIN!  The Captain Cook's is located at 939 W. 5th Avenue, Anchorage, AK 99501

AIR TRAVEL

What about air travel - any negotiated discount for airfare?  
  • ACS has a Group discount code for 7% discount on Alaska Air or Horizon Air flights to Anchorage for travel dates between 10/1/18 and 10/10/18.  Call 907-903-1350 or email sryan@akchiro.org for the code as we are not allowed to post on our website.  Travel from Prudhoe Bay, Hawaii, Mexico, or Canada excluded on discount.  To use the Discount Code, go online to http://www.alaskaair.com and input the Discount Code (call for code) when searching for flights.  The discount will be applied to any flights meeting the travel parameters above.  By clicking the "?" next to the discount code box after entering the code, you may view a detailed description of the rules.  You may also use the Discount Code by calling Alaska Airlines Group Desk; however a $15.00 per person ticketing fee will apply.  Please notify me of any tickets utilizing the discount code.

Is there a special rate for a hotel room at the Hotel Captain Cook Hotel?  
  • ACS has negotiated rates at TWO Properties for the 2018 Convention - The Hotel Captain Cook and their sister property, The Voyager Inn, located directly across the street from the Hotel Captain Cook.  
  • The group rate for the 2018 ACS Convention is for the Hotel Captain Cook is a Deluxe Room (Single/Double occupancy) at $140.00 plus tax.   This rate is available for hotel stays 10/01/2018 through 10/10/18.  Junior Suites have a rate of $165/night plus tax.  One bedroom Executive Suites are $235/night plus tax and Two-Bedroom Executive Suites are $375/night plus tax.  The hotel reservation line is 1-800-843-1950 or 907-276-6000. DOWNTOWN PARKING

What about parking in downtown Anchorage?  
  • You will need to pay for any metered street parking for Thursday and Friday but metered parking is free on Saturday and Sunday - limited availability.  On-street parking is free in downtown Anchorage after 6:00 pm and all day on weekends.  Click HERE for a map of available parking downtown with rates.  
  • ACS has negotiated discounted parking passes again for both the Hotel Captain Cook Parking Garage and the surface lot located at 510 K Street (next to the Voyager Inn). 
  • Parking in the Hotel Captain Cook Garage located at 400 K. Street between 4th and 5th. The garage entrance is located on 4th Avenue just past the Hotel Captain Cook. Discounted self - parking passes available at the rate of $20.00/per vehicle/per dayThursday through Sunday IF PURCHASED IN ADVANCE with your convention registration or ONLINE (before 9/30/2018) from ACS. Regular garage parking pricing = $1.50 per 20 minutes or $30 per 24 hours. PLEASE NOTE: This garage parking pass does not allow in/out access. When you drive in at the AM, you take a ticket from the machine. To exit, you use the parking pass provided by ACS for that day. If you want to be able to leave multiple times during the day, do not purchase a parking pass for the garage. Use the LOT parking pass below.
  • Surface lot parking in the Diamond Parking lot #5045 which is the big lot directly across from the Hotel Captain Cook Parking Garage next to the Voyager Inn bordered by K Street on the north and the alley on the east.  Discounted self - parking passes area available at the rate of $16.00/per vehicle/per day Thursday through Sunday IF PURCHASED IN ADVANCE with your convention registration or ONLINE (before 9/30/2018) from ACS. Regular lot parking pricing is $20 (6-10 hours) and $25 (24 hours).

AIRPORT SHUTTLE

Does the Hotel Captain Cook have an Airport Shuttle to/from the Ted Stevens International Airport?  
  • The Hotel Captain Cook does not offer an airport shuttle.  
  • Shuttleman offers $10/per person transfers (possible wait times for other passengers) to/from the airport to the Hotel Captain Cook.  To schedule a shuttle, please go to www.shuttleman.net.  Open up "Quick Quote" located on left side of webpage.  Under "Service" select:
    "Alaska Chiropractic Society"  and complete rest of "Quick Quote.   Shared shuttle hours are from 7am-midnight.
  • Cab fare runs about $15-$20 from the airport to the Hotel Captain Cook and takes approx. 10 minutes.

    AK Checker Cab 907-644-4444.  
  • BAC Transportation is also extending their Corporate/Affiliate rate for airport transportation for ACS Convention attendees.  Contact BAC at 907-222-2600 and mention the Alaska Chiropractic Society for the discount.  2-3 passenger Sedan runs $128.25 and 6 passenger SUV runs $136.50.  14 passenger van runs $156.00.  Prices include gratuity and fuel surcharge.  

TOURS

If you're a do it yourself kind of person - Here's my top recommendations....  
  1. Flaptop - 10 min drive - Great hiking on Powerline pass and up Flaptop.  Caution - people fall off Flaptop every year...
  2. Thunderbird Falls - 30 min drive.  Easy hike in.  
  3. Girdwood - 30 min drive.  Tram up to top of Alyeska Mountain.  Great hiking - 5 miles in is a glacier.   
  4. Homer - 5-6 hour drive - Kachemak Bay.  BEAUTIFUL drive through the Kenai Peninsula and great end of the road system Lands' End Hotel.  
  5. Seward - Exit Glacier - 2.5 hour drive south - 
  6. Matanuska Glacier - 2 hour drive north - 
  7. Hatcher Pass - 3 hour drive 
 

  

EXHIBITOR AGREEMENT

Upon receipt of the Exhibit Application Form at the Alaska Chiropractic Society (ACS), the ACS assumes that you have read the terms as outlined below and agree to abide by these terms. Application is subject to acceptance by ACS.  Written confirmation will be sent up on receipt of Application and payment.


Who may exhibit– The event is intended for those companies that are related to the chiropractic profession. ACS reserves the right to determine the eligibility of any applicant as an exhibitor.


Cancellation– All cancellation requests must be submitted in writing to the ACS. Cancellation received 45 calendar days or more prior to the event will incur a $150 cancellation fee. Cancellations received less than 45 calendar days prior to the event will receive no refund.


Exhibit hours– All exhibits must be staffed during open exhibit hours. It is agreed that no exhibitor will dismantle or remove any part of their exhibit prior to the official closing time as determined by the ACS unless otherwise approved.  Exhibitors should notify ACS in advance if tearing down before 5:30 pm on Sunday, October 7, 2018.  


Exhibit standards– Each exhibitor is entitled to a reasonable sightline from the aisle regardless of the size of the exhibit. Exhibits must conform to the size of the space and must be of such character or arrangement so as not to obstruct the view or interfere with the exhibits of others. All demonstrations and exhibits must be confined to the contracted space. Questionable exhibits shall be modified at the request of ACS staff. Nothing shall be posted on, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the building or furniture at the venue and is expressly prohibited.  


Adjusting– Adjusting performed in the exhibit area may only be performed by a chiropractor licensed in Alaska.

 

Use of space– No sharing, subletting, or assignment of space is permitted. ACS shall have the right to prohibit any exhibit or part of an exhibit that, in its opinion, is not suitable to or in keeping with the character or purpose of the event. Exhibitors are encouraged to verify helium balloon usage with the facility and will be held accountable for any charges resulting from their use. Exhibiting companies shall limit the number of personnel working concurrently to two (2) per booth. Exhibitor personnel are prohibited from working in aisles or other public areas.


Security– Exhibitors will be responsible for the security of their own property.

 

Contests, prizes, or lotteries– In order to ensure the highly professional and educational standards of the event, contests, prizes, and lotteries are expressly prohibited unless full explained in writing and submitted to the ACS for approval at least two weeks prior to the event.  ACS reserves the right to approve or decline any request. It is the exhibitor’s responsibility to notify winners following the event.


Exhibitor services– All costs for shipping, cartage, and handling are to be borne by the exhibitor. ACS will supply one skirted table and two chairs as well as ; all other services required must be ordered directly from the facility or their approved contractor. Any and all exhibitor charges for serves levied by the facility or subcontractors are the responsibility of the exhibitor. ACS is not responsible for payment for any services connected with exhibitor requests and has no authority over any service charges, rental fees, set-up fees, labor contracts, etc., that are requested by any venue.


Liability, insurance, and waiver of subrogation– ACS, its staff, directors, volunteers, service contractors, nor the facility shall be held responsible for the safety of exhibits against fire, theft, or property damage, or for accidents to exhibitors or their employees from any cause prior to, during, or subsequent to the period covered by the Application. Exhibitors shall obtain, at their own expense, adequate insurance against such injury, loss, or damage. The exhibitor waives the right of subrogation by its insurance carrier(s) to recover losses sustained under the exhibitor’s insurance for real and personal property.


Music and amplification– Due to U.S. Copyright Laws, ASCAP, and BMI licensing requirements, no copyrighted music, live or recorded, will be permitted in the exhibit area unless the exhibitor using the material has purchased the appropriate license.


Hospitality functions– Scheduling of private functions must be coordinated directly with the ACS. There shall not be any exhibitor entertainment, meetings, and/or any other activities aimed at convention attendees scheduled during exhibit hours or during sessions without prior written approval from ACS.  


Matters not covered– ACS reserves the right to rule on all matters pertaining to the event, whether expressly mentioned or not, and the exhibitor, by executing Application, agrees that all rulings shall be binding upon both the exhibitor and ACS.
